Privacy Policy: Your Information, Your Peace of Mind

At Amy Grubbs, LPC PLLC, your trust means everything. From the first time we connect, I’m committed to protecting your privacy and keeping you informed every step of the way. Whether you’re sharing your story in therapy, using insurance, or scheduling sessions online, I ensure your information is safe, secure, and handled with care.

What Information I Collect and Why

To make your therapy experience smooth and seamless, I collect the following information:

1. Personal Details

• Your name, email, and phone number for scheduling and communication.

2. Insurance Information (if applicable)

• Your insurance provider and policy details to process claims and confirm coverage.

3. Session Notes

• Confidential notes from our sessions to guide your care and track your progress.

4. Non-Personal Data

• Website usage data (via cookies) to enhance the site’s functionality and user experience.

Your privacy is my top priority, and I’ve put safeguards in place to keep your information secure:

• HIPAA-Compliant Systems: Every tool I use, from teletherapy platforms to billing software, meets strict HIPAA standards.

• Restricted Access: Only I, as your therapist, have access to your records.

• Data Encryption: Your information is encrypted during transmission and storage to prevent unauthorized access.

• Secure EHR System: All client records are managed through a HIPAA-compliant Electronic Health Records (EHR) system.

About the EHR System

I use a secure EHR system to store and manage your information. Here’s what you can expect:

• Confidential Storage: Your records, including intake forms, treatment plans, and progress notes, are stored safely in the system.

• Backup Protection: Your data is regularly backed up to prevent loss.

• Limited Sharing: Records are only shared with other providers or third parties with your written consent, except in cases where disclosure is required by law (e.g., risk of harm to self or others).

Using Insurance for Therapy

If you’re using insurance, I’ll work with your provider to make billing simple and transparent. Here’s what you need to know:

• Verification of Benefits: I’ll confirm your coverage before starting therapy.

• Claims Processing: I’ll submit claims directly to your insurance.

• Upfront Costs: You’ll be informed of any co-pays, deductibles, or out-of-pocket expenses before your session.

The No Surprises Act

Unexpected bills? Not here. The No Surprises Act ensures financial transparency.

• Good Faith Estimate (GFE): If you’re uninsured or not using insurance, I’ll provide an estimate of therapy costs at least 72 hours before your first session.

• Updated Estimates: If your treatment plan changes, I’ll give you an updated GFE.

If you ever receive a bill $400+ more than your GFE, you have the right to dispute it. Contact the Department of Health and Human Services (HHS) at 1-800-985-3059 or visit www.cms.gov/nosurprises

Your Rights

You have the right to:

• Access Your Records: Request a copy of your therapy records at any time.

• Request Corrections: If something is inaccurate, I’ll work with you to amend it.

• Control Information Sharing: Your information is only shared with your written consent, except in cases required by law.

Teletherapy Privacy

Teletherapy is convenient, but privacy still matters. Here’s how to protect your sessions:

• Choose a quiet, private location.

• Use headphones to avoid being overheard.

• Keep your device secure with passwords.
